<p>If you or someone in a key role were to take a sick day or a vacation, would someone else be ready to pick up the slack? Would a new hire be able to learn a specific task without you sitting next to them and walking them through it? Or what if you just want to save yourself the headache of remembering a lengthy process the next time you need to get it done?</p>
<p>Documenting important tasks that keep your business moving forward is a great practice for professionals, whether you work on a team or are trying to be a more productive individual. Keeping notes about your workflow makes it a lot easier to remember how to do things, share your tasks with others, and make sure that everyone understands what needs to be done and exactly how to do it. It also makes things a lot easier when the unexpected occurs &#8211; when your processes are written down, someone else can easily fill-in.</p>
<p>Here are a few ways I use Evernote, Skitch, and Clarify to help me document different kinds of workflows:</p>
<h3>Documenting Simple Procedures</h3>
<p>Evernote is a great place to keep non-screen-based workflows written down, such as procedures for follow-up phone calls to clients, or steps on the computer that don&#8217;t need detailed explanation, like sending an email. For these types of workflows, I use the checkbox and numbered list features to outline specific steps, then add text to further explain items, if needed.</p>

<h3>Documenting Complicated Workflows</h3>
<p>For any workflow where someone needs to complete detailed actions on a computer, pictures are always better than words. The idea behind documenting your processes and workflow is to save time; using a combination of text and images can help minimize confusion so that others are able to complete the correct steps quickly and efficiently. There are two ways I&#8217;d recommend documenting this type of workflow:</p>
<p><strong>Skitch + Evernote</strong></p>
<p><a href="http://evernote.com/skitch/">Skitch</a> lets you grab a screenshot, annotate it, and send it directly to Evernote for a simple way to document, store, and share simple screen-based processes. It&#8217;s often hard to remember exactly what every screen in every application does or what every icon means. Instead of struggling to figure it out each time, you can take a screenshot and use Skitch to highlight all the details you need. And, if you store it in Evernote, all your notes on the process will be available to you or a teammate with a simple search. The combination of Skitch + Evernote is great for documenting a single screen or a single step in detail.</p>

<p><strong>Clarify + Evernote</strong></p>
<p><a href="http://trunk.evernote.com/app/clarify/mac">Clarify</a> (available in the <a href="http://trunk.evernote.com/">Evernote Trunk</a>) is a great tool for documenting multi-step workflows on your computer. With Clarify, you can take multiple screenshots, annotate each one, organize them into a series of steps, and add additional text to further explain each step. Once you&#8217;ve created the entire workflow document, you can save it directly to your Evernote account for collaboration or sharing. A good example of when you might want to use Clarify is in explaining how to send out an email newsletter, which usually involves a number of critical steps.</p>

<p>Once you&#8217;ve documented your processes you can then store them in a Shared Notebook, then set view, modify and share permissions for each person your share the notebook with.</p>
<p><span style="color: #333333">Or, if you&#8217;re using </span><a href="http://evernote.com/business/" target="_blank">Evernote Business</a><span style="color: #333333">, add them to a notebook in your Business Library so that anyone you work with can access them when needed. </span>In my business, I&#8217;ve created notes for using our CRM tool, accounting software, and even how to post an item to our blog at <a href="http://www.customlivingsolutions.com/" target="_blank">www.CustomLivingSolutions.com</a> - each of these processes has many steps and would be hard to explain with just words!</p>

<p><b>Archive the Kids&#8217; art.  </b></p>
<p>I accept that someday my children will leave the house, so why is it so hard to let go of their noodle necklaces and marker masterpieces? Artwork is accumulative, and I’ve learned over the years that saving everything means nothing feels <i>special. </i>Spring is a great time to scan or photograph your mini Monet’s works and store all the archives in Evernote.  I like to record the artists’ commentary on the works as well, and I bet they’ll love listening to those old voice notes once they’re away at college (and I’ve converted their room into a home gym).</p>

<p><b>Bring in the robots! </b></p>
<p>I think I made it to twelve before I realized our Carpet Sweeper <i>wasn’t actually a toy</i>. I remember loving to help clean up around the house, and if helping involves using remotes and pushing buttons, you’re golden.* Your kids will fight over who gets to hit “go” on a  <a href="http://store.irobot.com/product/index.jsp?productId=13081876" target="_blank">Looj Gutter Cleaner</a> robot (the leaves go flying everywhere!) and who gets to point the <a href="http://store.irobot.com/product/index.jsp?productId=12991591&amp;cp=2501652&amp;007=Search&amp;006=4095105277&amp;005=65316950&amp;004=1003649737&amp;s=A-UnitRank-IRBT&amp;002=1442293&amp;gclid=CI7htM216LUCFQyEnQod_DQAMg&amp;camp=Google+-+K70&amp;ab=CMS_IRBT_100909&amp;parentPage=family" target="_blank">Roomba</a> robot at the dog and hit “start.” The house gets tidied, and your kids learn that cleaning up is <i>everyone’s </i>responsibility.</p>
<p><b>*Warning: Does not apply to teenagers.</b></p>
<p><b>Store Toys with a System. </b></p>
<p>Maybe it’s something about the cold winter months, but I am convinced that stuffed animals (and toys and books) tend to multiply in winter. Spring means thinning out the herd, storing the old toys for the next sibling in line, or (my dirty secret) putting things in the garage to ensure that no one misses them, then <a href="http://www.stuffedanimalsforemergencies.org/" target="_blank">giving them away to charity</a>. (Buh bye Furby!). I snap a quick phone picture of everything I put in storage, and keep them all in Evernote, so if someone suddenly wonders where their purple bunny with the polka-dot tunic went, you’ll know exactly which storage bin it’s in.</p>

<p><b>Purge your paper</b></p>
<p>Here’s something no one ever told me: families leave a paper trail.  Report cards, medical histories, soccer schedules, vet records, bills paid, checks returned… the list is endless. I promise you, 92% of these documents can safely disappear with two words: scan and shred. Because I despise unnecessary paper piles, my <a href="http://www.fujitsu.com/us/services/computing/peripherals/scanners/scansnap/scansnap-iX500.html" target="_blank">Fujitsu ScanSnap iX500</a> has become my partner in paperless living.  All those piles become searchable PDF documents, easy to find at a moment’s notice for the rest of eternity.  I can take my crusade against paper waste a step further with the <a href="https://www.paperkarma.com/" target="_blank">PaperKarma</a> app. Hand your iPhone or Android to the kids and have them take pictures of all the junk mail you don’t want to receive anymore – then poof! PaperKarma unsubscribes you. It’s like hiring a bouncer for your mailbox.</p>

<p><b>Store cleaning tips in Evernote</b></p>
<p>Not to get all meta, but I do enjoy organizing articles about organizing, and cleaning up articles about cleaning up. If you’re like me, you’re constantly coming across articles, blogs and cereal boxes with interesting home remedies and non-traditional cleaning tips (did you know a slice of white bread can take stains out of a delicate wallpaper?).  I scan or clip them all into Evernote so when I do find a stain on my wallpaper <i>(“Kiiids! Who ate rocky road in the powder room!?”</i>) I can find the fix in record time. Now I’m the one friends call when they find themselves in a Sharpie-on-Suede situation. Just call me <i>Martha Knobloch.</i></p>
<p>One of my kids heads to middle school next year, and I’m guessing that might be the time we have &#8220;The Talk<i>&#8220; </i>(the Evernote Talk, that is).  I think he’ll benefit greatly from having his life organized and available from any device.  Of which he has plenty.  Which reminds me… I’ve got to get him to clean up his room…</p>

<p>With the change of season, you may be thinking about giving your office a thorough spring cleaning. After all, it is a time of renewal, so why not refresh your workspace?</p>
<p>Although you can dig right into sorting your belongings, information, and other “stuff” around your desk and your office, it’s helpful to start with a strategy around how you&#8217;re going to store and organize whatever remains. Increasingly, the people I work with are looking to centralize and streamline as much as possible — and one of the ways they’re able to achieve that goal is by using Evernote to facilitate the process.</p>
<p><a href="http://blog.evernote.com/blog/2013/04/24/spring-made-simple-evernote-and-the-great-office-cleanup/office-cleanup/" rel="attachment wp-att-32029"><img class="aligncenter size-full wp-image-32029" alt="office cleanup" src="http://blog.evernote.com/wp-content/uploads/2013/04/office-cleanup.jpg" width="640" height="480" /></a></p>
<p>Here are some of my favorite ways to use Evernote as part of your office spring-cleaning strategy:</p>
<h3><b>So long, sticky-note monitor frame</b></h3>
<p>Is your desk littered with sticky notes and scraps of scribbled paper? While it can be helpful to be able to jot down a quick note, it&#8217;s difficult to keep track of all those bits of paper as they accumulate, and even harder to find the information you need from them quickly. On top of that, sticky notes aren’t the most aesthetically pleasing decor choice for your desk.</p>
<p><a href="http://blog.evernote.com/blog/2013/04/24/spring-made-simple-evernote-and-the-great-office-cleanup/stickynote-5/" rel="attachment wp-att-32046"><img class="aligncenter size-full wp-image-32046" alt="stickynote" src="http://blog.evernote.com/wp-content/uploads/2013/04/stickynote4.png" width="640" height="657" /></a></p>
<p>Evernote can clean up your sticky note mess quickly and effectively. On your phone, use Evernote to take snapshots of your handwritten notes — one Evernote note per sticky or random scrap of paper. Put them in a notebook called “Sticky Notes” or something along those lines (or you can create a “Sticky Notes” tag if you prefer tagging). Evernote will make your handwritten notes searchable, so you’ll be able to find the information you’re looking for in a snap. As an added bonus, you’ll never have to worry about losing one of those notes again — they&#8217;ll all be in your Evernote account.</p>
<h3><b>Clean up the idea pile</b></h3>
<p>Regardless of what your job is, you probably come across articles that spark ideas, blog posts that you could riff off of in your work, and webpages that inspire your own creativity. These pieces are helpful to have handy as you develop your thinking around a project — after all, few ideas are created out of whole cloth. But when they’re kept in printed stacks or piles on our around your desk or buried in bookmarks on your computer, they not only create clutter — they’re impossible to use effectively.</p>
<p><a href="http://blog.evernote.com/blog/2013/04/24/spring-made-simple-evernote-and-the-great-office-cleanup/ideas-copy/" rel="attachment wp-att-32028"><img class="aligncenter size-full wp-image-32028" alt="ideas copy" src="http://blog.evernote.com/wp-content/uploads/2013/04/ideas-copy.png" width="640" height="341" /></a></p>
<p>Since Evernote can capture many different types of notes — Web Clips (via the <a href="http://evernote.com/webclipper/">Web Clipper</a>), photos, scanned articles that you’ve torn out of a magazine, etc., it’s an ideal spot to keep the things that can spark your work-related ideas. Create an “Ideas and Inspiration” notebook, and corral the websites, articles, and notes that you’ve been collecting. When it’s time to work on a new project, set aside a few minutes to flip through the ideas you’ve collected. Looking through your notebook may just cause inspiration to strike!</p>
<h3><b>Say goodbye to the “someday” stuff</b></h3>

<p>It&#8217;s easy to jettison printed documents, articles, and other information that you only need for a limited time. But what about the content you&#8217;re less sure about — that article that you think may come in handy in the future, or the website that you might want to revisit?</p>
<p>This is a good time to bring Evernote into the mix. Rather than creating a “miscellaneous” folder or pile on your desk or computer,  create a “Someday” or “Articles” notebook in Evernote. Capture the web pages or scan the clips that you can foresee yourself needing access to, and store them in that new notebook. You’ll be able to easily search for that content when you need it, and in the meantime, it’s out of your way so you can focus on your work.</p>

<p>I just love decorating for spring. Around this time of year, I always find myself craving those little updates around the house that make it feel light, fresh, and lively. Making your own space look special for springtime doesn&#8217;t have to be a production &#8211; adding even a few pops of color here and there can make a huge difference in the mood of your house.</p>
<p>Here are a few of my favorite time-saving tips for making your spring decorating quick, simple, and attractive with the help of Evernote!</p>
<h3>Evernote for Capturing Ideas</h3>
<p>All winter long, I file away pretty floral brights or light, drapey warm-weather fabrics into my Evernote &#8220;Home Decor&#8221; notebook. I do this by adding photos of items I see in other homes that I adore, or, when I&#8217;m looking around online, I clip images from the web straight into my account with the <a href="http://evernote.com/webclipper/">Evernote Web Clipper</a>.  If you want to learn more about the organization system I use once I clip and add all this content to Evernote, <a href="http://blog.evernote.com/blog/2013/01/25/announcing-our-newest-design-ambassador-erin-souder-of-house-of-earnest/">check out this post</a> I wrote a little while back.</p>

<p>By going through this process of saving things I like when I see them, I don&#8217;t need to dedicate time to actively searching for ideas when I feel like doing a refresh &#8211; they&#8217;re all waiting for me in my Evernote account. When the first warm days start to approach, I browse through all of that inspiration to pick out the perfect mix of textures and colors that shout out spring!</p>
<h3>Erin&#8217;s Spring Style Tips</h3>
<p>Here are some of my go-to methods for bringing a little bit of the spring spirit indoors:</p>
<p><strong>Vibrant, Breezy Brights.</strong> Trade those heavy afghans and fluffy sherpa pillows for light and silky throws and vivid, bright prints! Pick an item you love with a color that pops, and start adding complementary accessories and textures from there. I usually like to offset my colorful items with some earth tones to avoid that Easter-egg, bright-on-bright look. Hand towels, shower curtains, sheets, and bathroom rugs all get the switch for a crisp look throughout the house.</p>

<p><strong>Lively Blooms.</strong> The last thing to signify that spring really is coming to life in your home is the addition of flowers &#8211; they give your home a fresh, inviting feel unlike any other accessory. I pick up tulips and other spring flowers from my local supermarket, then break down the bouquets into a few small and one large arrangement and place them in simple vases all over the house. This way, no matter what room you are in you can catch a whiff of the delicious scents of spring.</p>

<p>The pantry contains a lot of the staples you need to make your favorite meals each week &#8211; food in mason jars or boxes stashed away, condiments, sauces, grains and pastas, all ready to use at a moment&#8217;s notice. But how often do you dedicate time and thought to what is actually kept there? Whether it&#8217;s one shelf or an entire dedicated basement room, our pantry is the wingman of our kitchen. This spring, as we get started with cleaning and organizing the rest of our house, it&#8217;s also a great time to give the pantry some much-deserved love and attention.</p>
<p>Here&#8217;s my top tips to get your pantry cleaned out and back in working order with Evernote!</p>
<h3><b>Clear it all out. </b></h3>
<p>As you&#8217;re going through your pantry, be a ruthless sorter. Your bandwidth will vary on this, but the goal is to get a hand and eye on every item in the pantry. Keep a box for trash, a &#8220;donate&#8221; box, and a box for items you want to keep nearby. Chances are, if you&#8217;ve not used that Hoisin sauce over the last 6-12 months you may never use it, so donate it to someone who will. Be realistic with yourself about what you really use. The pantry can do great things for your meal planning and prep, but only if it&#8217;s filled with food you actually use and love.</p>
<h3><b>Put things in order.</b></h3>
<p>Be sure to go donate that box (or boxes) you just cleared out. Then, you&#8217;re ready to get started on putting things back in order.</p>

<p>Organizing is really a matter of two principles:</p>
<p>1. Only have things you use, and keep like things together.</p>
<p>2. Being organized simply means you are able to find things you need in 5 minutes or less.</p>
<p>If you stick to these two rules, getting the items you have in order isn&#8217;t too complicated. If it helps, think of your grocery store aisles and shelves, and how they are put together. Group your canned meats &amp; seafood, pastas, legumes, grains, jams, pickles, canned fruit &#8211; you get the idea. How big your groups are will dictate how much space they need.</p>
<p>Once you&#8217;ve grouped your items, label to your heart&#8217;s content. Make your pantry an attractive space with baskets, matching trays, shelves or labels. A great place to find labels is in the scrapbooking section of your local craft store, or you might even have things laying around your home that you can use. Be creative! Then, stand back and admire your hard work.</p>
<h3><b>Keep Track of Ingredients and Meals in Evernote</b></h3>
<p>Now that you&#8217;ve got your pantry in good working order, let&#8217;s keep it that way. One way to make sure your inventory is up to date is to keep lists of ingredients and lists of meals you make on a regular basis. Here&#8217;s where Evernote comes into the process. I make a few important notes that help me track the ways I&#8217;m using items from my pantry (<a href="http://blog.evernote.com/blog/2012/09/14/quick-tip-friday-create-checklists-faster-with-auto-checkboxes/">learn how to create a checklist in Evernote</a>):</p>
<p><a href="http://blog.evernote.com/blog/2013/03/22/spring-made-simple-tips-to-organize-your-pantry/brandie-notes/" rel="attachment wp-att-30717"><img class="aligncenter size-full wp-image-30717" alt="Brandie Notes" src="http://blog.evernote.com/wp-content/uploads/2013/03/Brandie-Notes.png" width="640" height="555" /></a></p>
<p>1. In your Evernote account, make a note called &#8220;Dinner List&#8221;, including meals you make on a regular basis. Take a few minutes and do a brain dump of everything you can think of &#8211; remember, you can always add (or subtract) things later.</p>
<p>2. Make a note of your pantry&#8217;s inventory. To get <b>super</b> organized, add the expiration dates so that you can easily see what needs to be used up and things you need to buy or replace.</p>
<p>3. Make a simple template note that includes the following categories: Meals, Sides, Use, and Make. Use this template each week to plan out what you&#8217;ll prepare. When you notice pantry items that are about to be past their prime, put them on the week&#8217;s &#8220;use&#8221; list. Refer to your &#8220;Dinner List&#8221; note you made above when you are uninspired or stumped on what to make. You can also share your &#8220;Dinner List&#8221; note with the family and ask for any requests.</p>
<p><strong><i>Bonus Tip</i>:</strong> This whole exercise also works on the freezer. I like to use my freezer as a backup pantry for perishable foods. Go through the same steps with your freezer as well, and you&#8217;ll be a pantry rockstar!</p>

<p>A month of getting fit has flown by and we had a blast! We had close to 300 attendees on our Facebook event page, sharing some awesome fitness milestones, photos of beautiful places they worked out at, and clever ways to keep fit while living a busy life. We asked attendees to post photos of their workout setup, and we were thrilled to see all the great ways our users are staying active! Here&#8217;s a sampling of our favorites:</p>

<p>We also hosted a virtual workout with Chad to keep you motivated throughout the Challenge. Chad led us through a tough workout, showed us how much can be accomplished without any equipment, and gave us some great tips.  We also gave away <a href="http://www.ihealthlabs.com/">iHealth</a> blood pressure monitors to two lucky listeners, Laura Gilchrist and Garrison Cummings! <h3>Evernote for Organizing Creativity</h3>
<p>My blog, House of Earnest, is where I share all things home-related that inspire me. I’ve been using Evernote for almost four years; I started using it to catalog pictures that I took and wanted to add some notes to. As my blog following grew, I got really busy and it&#8217;s helped manage all of my creative inspiration.</p>

<p>Above is a screenshot of my ‘homepage’ which shows my last several saved notes.  It&#8217;s laid out kind of like an email inbox, but each note shows a snippet of a photo, which is so helpful for finding something visual.  If I’m looking for &#8220;gold&#8221; things in a product round up, I can scan the thumbnails and easily pick out gold-hued items from all of the notes I’ve saved.</p>

<p><strong>Remembering My Best Ideas</strong><br />
In addition to visually scanning notes, however, you can add information such as tags to make your notes (in my case they’re mostly photos) even easier to sort through. One photo might get ten different tags, but it helps me to recover the idea later on.  I use Evernote and the Web Clipper to capture inspiration wherever it strikes me, then later I can search by keyword to find exactly what I’m looking for.</p>

<p>Another amazing detail? The Web Clipper saves all of the URLs of clipped images and webpages for me. I love to give recommendations about unique pieces and fun products on the blog, and one of the hardest things for me (in life and in blogging) is remembering where I saw something. Now it&#8217;s easy for me to recall some of the more obscure finds that I may feature.</p>

<p>One of my favorite aspects of Evernote is the sharing features—Shared Notebooks and Public Notebooks, in particular. I create Shared and Public Notebooks for a range of things that are at the core to my agency&#8217;s approach to management, strategy and execution.</p>
<h3>Shared vs. Public Notebooks</h3>
<p>You can share a notebook with one or more individuals and, if you&#8217;re a Premium Evernote user, grant modification rights to other users. You can also create Public Notebooks by creating a public link to a notebook that can be posted anywhere, allowing anyone who has access to that link to view your notebook and &#8216;Join&#8217; it. When you join a Public Notebook, it will automatically be saved to your Evernote account, where you can sync it along with your other notebooks from any device where you have Evernote installed.</p>
<h3>At my agency, we create Shared Notebooks for:</h3>
<ul>
<li>Events: To easily share information including itineraries and digital programs, speaker and sponsor content, as well as valued resources for attendees.</li>
<li>Clients: When we sign on a new client, we create Public Notebooks to easily share their content with social networks.</li>
</ul>
<p>Evernote&#8217;s really accessible <a href="http://dev.evernote.com/">API</a> allows us to easily create automated sharing scripts for our notebooks, but non-techies can use integrations like <a href="http://trunk.evernote.com/app/ifttt/web-apps">IFTTT</a> to automate tasks, such as publishing updates to Shared Notebooks directly to their Twitter account.</p>
<h3>Onboarding new clients with Shared Notebooks</h3>
<p>When onboarding new clients, we create two notebooks; one is shared with only a handful of individuals and holds encrypted information like email addresses and payment details, and the other includes contracts, reports, and checklists for project collaboration. The second Shared Notebook is accessible by multiple team members, so we can all work together more efficiently. Not only am I able to provide my clients access to their content instantly, I&#8217;m able to scale my small business by automating tasks.</p>
<h3>Public Notebooks for sharing information with my local community</h3>

<p>In addition to using Public and Shared Notebooks for my work, I also create Public Notebooks to contribute to my local community. My <a href="https://www.evernote.com/pub/lindseycholmes/emergencyprepkit">Emergency Preparation notebook</a>, created for Newark, NJ and its surrounding areas during Hurricane Irene, is a model that communities can use to easily prepare for major emergencies and, wireless Internet permitting, disseminate information quickly. In this Public Notebook, users will find emergency checklists, FEMA information and local emergency numbers. Gaining access to these resources quickly and easily can make a big difference in emergency situations. (Pro Tip: Save important notebooks like this offline for use even without wireless Internet with the <a href="http://evernote.com/premium/">Evernote Premium</a> Offline Notebooks feature.)</p>
