Quick Tip: Create a Table of Contents Using Note Links

Note Links allow you to associate your notes with each other, helping you create a customized organization structure inside your Evernote account. You can learn more about using Note Links by reading this blog post.

Note Links are great for linking together different pieces of travel-related information like itineraries, articles and passport photos, as well as organizing project elements and class research. One of the coolest things you can do with Note Links is create a table of contents for a set of notes inside of a notebook. This is particularly useful if you are sharing a notebook with other individuals.

To do this:

  1. Grab the Note Link to a note by right-clicking on the note and selecting to Copy Note Link.
  2. Create a New Note in your notebook or go to a note where you’d like that Note Link to go.
  3. Paste the link (it will show up as the hyperlinked title of your note) into your New Note or existing note.
  4. Do this for all other notes you’d like to include in your table of contents, putting them in the order that you’d like people to look through the notebook.

You can perform this as a batch action, too. Select multiple notes, right click and then add them to your new or existing note.

Evernote World: How a Hair Stylist in Japan Uses Evernote

Nana Ogihara is a hair stylist at Kinoshita Gaien East Street in Yotsuya, Tokyo. The 118-year-old salon and barbershop where Ogihara works is owned by 5th generation owner Hiroaki Kinoshita, a well-respected stylist in Japan. Ogihara uses Evernote on her iPad to collect ideas for hair styles, stay on top of new trends, and help her clients find the perfect style.  We recently paid her a visit to learn more about how she uses Evernote and, naturally, made sure our CEO got a new haircut.

We hear you use Evernote quite a lot in your work. Tell us about the role it plays in your day-to-day job.

Ogihara: As a hair stylist, I am constantly learning and Evernote is vital in helping me study my craft. I need to keep up with new cutting techniques and trends and Evernote allows me to capture everything in one, easily-accessible place. With Evernote, I’m able to snap photos of hand-drawn pictures and attach images to notes that I can later annotate, something that is especially helpful when it comes to learning new cutting techniques. Because I have a number of different styles saved in my Evernote account, I’m able to quickly search through my notes and show customers various options when discussing styles with them. I also attend hair styling seminars and use Evernote to save whiteboard images with added notations. Having everything in one place, including images, drawings, and notes makes Evernote incredibly convenient, especially given that I’m often on the move.

Does your job extend beyond store hours?

Ogihara: After store hours, we practice on wigs, and on weekends, I often attend seminars to continue my education. Evernote allows me to manage styles, and share what I learn and find with colleagues in my field.

What Evernote features do you find most helpful in your profession?

Ogihara: One of Evernote’s best features is that it allows me to quickly record something and retrieve it. The ability to access my notes from multiple platforms is extremely handy as well. While my iPad is perfect for communicating about styles with customers, I can use Evernote on my desktop to do more detailed work or use my iPhone for quick note taking when I’m on the go.

How else do you use Evernote?

Ogihara: I teach a lot, so I upload pictures from training sessions, model cuts, and examples to show at seminars. I also store images from special events and contests. I can add notes to all of these images, so I’m able to remember more from all the classes and events I attend. I use Evernote to keep me organized around seminars that I teach. Every week, we have a seminar at the salon about new trends, and I pull together articles from various magazines and the web with Evernote. I can then easily share specifics about what new styles my students need to be aware of. I also use Evernote to organize my travel schedule.

Anything to add about using Evernote?

Ogihara: A key part of my work is communicating with customers so I am careful not to be intrusive when using Evernote to show them hair styles and cuts. It is important for customers to be relaxed, and not interrupt conversations, and Evernote makes this valuable engagement time feel casual.

We get some style

We were so impressed by Nana’s work at the salon that our CEO, Phil Libin, and the Evernote team stopped by for a cut on a recent visit to Japan. The salon handles both haircuts and shaving, so the team got quite the full-service treatment, including a massage.

Evernote’s goal is to be a 100 year company, and experiencing such service from a 118 year old company was inspiring!

I use Evernote for…

I started using Evernote in October 2008 after coming across it in my research. Part of my job is to research technologies and teach workshops on productivity tools. I research hundreds of tools and review a few of the best ones I find, then teach workshops to 20-25 people at a time, introducing them to the best of the best. Evernote is the only tool that gets talked about all the time. I began using Evernote heavily in the workshops that I did and at some point, became an on-campus evangelist for it.

While I was introduced to Evernote in the context of my job as an instructional technologist, I quickly realized that it was the perfect way for me to capture and keep track of recipes. Here’s how I use Evernote for home cooking (and you can, too!):

 

  1. Audio notes for hands-free notetaking. When I’m covered in dough, it’s easier to record something verbally (for example, my thoughts on a particular recipe) rather than type out instructions or notes to myself.
  2. Use the Web Clipper to capture recipes you see online. There are so many great sites and food blogs out there. I use the Evernote Web Clipper to save recipes to my Recipes notebook. Once they’re in my Evernote account, I can add tags and text. The source URL automatically gets embedded in the note, so it helps me remember to revisit some of those sites for future inspiration.
  3. Use the Evernote search feature. It’s so easy to find things in Evernote — all you have to do is type a few keywords into the search bar. Sometimes, I’m searching for a specific recipe, so I can type a few memorable keywords into the search bar and find exactly what I’m looking for. Others, I’m just looking for some inspiration, so a few keywords will pull up a slew of possibilities.
  4. Utilize tags. Tags make it easier for me to search for recipes, especially when I’m on the move. If I’m in my kitchen, I usually have my iPad, but if I’m at the store, I have my iPhone. Searching my tags helps me find exactly what I’m looking for, fast. Since I have so many recipes in my Evernote account, I’m able to sift through them quicker if I can search by, say, all notes tagged ‘breakfast recipes.’
  5. Share your digital cookbook with a few lucky friends. My entire office uses Evernote for work already, and a number of us are avid home cooks. I started to share my Recipes notebook with a few of my favorite colleagues, who can piggyback off of my great finds and benefit from my notes and experiments.

Evernote Food for Memorable Meals and Food-Centric Events

I downloaded Evernote Food to my iPhone the day that it came out and have been using it ever since. My friends and I have several food-centric events every year (TamaleFest and our semi-annual grilled cheese dinner, the Melties). Documenting the event and the various foods that are made and shared is part of the fun and Evernote Food makes it really easy. For example, when we held our TamaleFest, I used Evernote Food to make a record of each tamale type we made (pork, roasted red pepper and chihuaha cheese, chili-lime chicken, and black/bean sweet potato) as we made them and then added in notes later once we got to taste them, as well as a few shots of tamale-making technique (spreading, rolling, how much filling should be in there, making the masa, etc). These notes, which are automatically synced to my Evernote account, will help us a lot next year when we plan the next one. In addition to using Evernote Food for tracking memorable food-centric events, I’ve also started using it as a visual daily food diary for myself.

10 Productivity Boosting Tips from Productivity Ambassador Joshua Zerkel (Downloadable PDF) and NAPO Meetup Recap

Evernote Productivity Ambassador Joshua Zerkel recenly attended the 2012 National Conference of the National Association of Professional Organizers (NAPO) in Baltimore, where he held a meetup to share his productivity tips. Professional organizers and productivity professionals get pretty excited about the organizational and productivity power that Evernote can offer, so at last week’s 2012 National Conference of the National Association of Professional Organizers (NAPO) in Baltimore, I hosted a meetup for my colleagues. I thought a few people would be interested — but we had almost 50 people attend!

At the meetup, I walked attendees through the brand-new Evernote productivity guide, and discussed a variety of strategies for using Evernote to stay productive and get the right things done. I loved hearing stories of how my colleagues in NAPO are sharing Evernote with their clients and how they are using it themselves in their own businesses.

Since Evernote partners Fujitsu (makers of the ScanSnap line of scanners that let you scan directly into Evernote) and the new FileThis Fetch service were both at the NAPO conference, I invited them to join me at the event. What’s great is that attendees were able to learn first-hand how using the Trunk (where you can find a variety of 3rd party apps and products that integrate with Evernote) can let Evernote do even more for you! Kim from Fujitsu generously gave away a ScanSnap scanner to one lucky winner, and several folks won Evernote Premium subscriptions. Score!

All told, it was a really fun event, and as always, it’s a real treat for me to get to share the Evernote love!

  • Instruction Manuals
    Most product manuals are available in downloadable PDF form. When you buy new appliances and gadgets, save the manuals to your Evernote account and never worry about having to sift through piles of books when you need to do a little troubleshooting. If you’ve solved a particularly perplexing problem, walk your future self through the same solution by recording a voice note.
  • Home receipts and warranties
    Snap photos of receipts and scan product warranties to your Evernote account, where all the contact information and receipts from home repair projects (as well as warranty info) are in one place. This will help you quickly remember things like “What was the name of the plumber who came out to fix the kitchen sink pipes when they burst?”

Organize your junk drawer, closet, and home

  • Take-out Menus
    Get all of those menus out of the junk drawer! Drop PDF menus and scan in paper menus to save space. When it’s time to choose your pizza toppings, just pull up the menu right from your phone!
  • Home Inventory
    Spring is a good time to look around and see what new things of value have not been documented. Take a picture of various items in your home and type in the monetary value so you have a record in the event of loss or damage.

Having Evernote on my work computer, home computer, iPhone, and iPad makes connecting thoughts and ideas seamless. It also allows me to grab inspiration from anywhere, because you never know when something inspiring might pop up!

I use Evernote for…

Annotated with Skitch

My blog is a place where I can show people the home-related things that inspires me. In total, I’ve been using Evernote for about three years; I started using it to catalog pictures that I took and wanted to add some notes to. Then, a few months ago, I got really busy with work and the blog. I had a new iPhone and I began to evaluate other ways that Evernote could help me with my workload. Since then, I’ve started to use it a lot more often, and it’s become a lifesaver!

You can take inspiration from everywhere and apply it to the smallest things.

The best thing about Evernote is that it helps me catalog virtually anything — websites, contacts, photos, and errant thoughts — nothing slips through the cracks anymore.

For finding home design inspiration

 

  • Capture furniture and accent pieces over time. Anytime I visit websites like West Elm, Etsy, or check out antique shops, I use the Web Clipper or Evernote’s snapshot feature on my iPhone to capture images. I’m a very visual person, so it helps to throw everything into Evernote and then look at thumbnails of all of the pieces I’ve captured to see what jumps out at me, what items might fit into my home, and which items would look great together. Often, I don’t find two corresponding items (like a side table and matching lamp) in one outing, so it helps to be able to capture things as I spot them and then see what they look like side by side in Evernote.
  • Let one idea generate another. I love how Evernote allows me to go down a rabbit hole of ideas, even if they don’t all come to me at the same time. By constantly capturing inspiration for my home into Evernote, I don’t feel the pressure to act on them immediately. When I’m decorating, I’m not looking for something very specific. Often, my ideas are dormant until I’m visually browsing my account and a lightbulb goes off: this is what I’ve been waiting for!
  • It might be for now, or it might be for later. I clip stuff that I don’t need or might never need, but the beauty of Evernote is that these notes and ideas will always be in my account, and one day they might rise to the occasion. Who knows, maybe someday in the future my mom might mention that she’s looking for a colorful side table and I’ll immediately be able to share my finds in Evernote with her.
  • Don’t just bucket ideas. Tagging allows me to categorize an idea for different purposes. For example, I might tag something as a gift idea, but it might also make a great addition for the ‘Friday Faves’ feature on my blog. Any note can have multiple purposes.

For work

 

  • I freed myself from being chained to my work computer. Now, when I receive emails that I think I might need to respond to after I get home, I simply send them to my Evernote account, where I can review anything work-related later, without actually being in front of my work computer, or logging into my work email. I use the Outlook add-on, which makes sending things to Evernote totally seamless.
  • I work on the go. Since I work in fashion detail, I’m always looking for new materials. I use Evernote on my iPhone to take in-store photos of clothing labels, and up close photos of material textures. This extends into my personal life, too. I often see things in stores that I like, but want to change. A side effect of working in retail fashion is knowing that you can change and customize everything. I’ll often find myself snapping photos of individual items like tops and accessories so I can see how these items might fit into outfits I already have. I can also snap photos of items and add text saying how I would change the item (i.e.: love this chair but prefer if the arms were lower).

For blogging

 

  • Evernote as a visual reminder. I see so many things in a given day or week, and as I’m clicking through a site or my emails, I methodically clip and forward things to my Evernote account, adding tags (one of my favorite features) so I remember to go back and look at things later. I never know if I’ll end up using something on my blog or entertaining, or maybe for work, so certain notes end up being tagged for multiple purposes.
  • For writing blog posts as a two-step process. Often, blog ideas will come to me throughout the day. No matter where I am, I can quickly type them up in Evernote and finish them later. I’ll write the main gist of an idea, or notes to myself like ‘add a photo of X’ to make the process of finding supporting photos later much easier. The outline eventually becomes my blog post. Approaching my blog writing in this way also helps me revisit posts to re-evaluate how reader-friendly they are.
  • For creating collages. When I’m creating a collage, I look for similarly-sized items with complementary color characteristics. Seeing a lot at once helps me create collages, making Evernote the perfect starting point. I collect all of my images in Evernote, then head to my photo editing program to create the collage. I then save the finished collage back to Evernote, where I can access it later.
  • For accessing photos on my iPad. I use Evernote on my iPad when I travel and I love being able to scroll through all of my photos and graphics on it because my photos can be tagged and include my notes, making them easier to find. It makes writing and working on the go much easier!

Evernote for gifting

I have a bad memory and I would often find myself forgetting little things, so I started making a habit of sticking everything in Evernote. My sister-in-law loves French Bulldogs and I recently saw a French Bulldog calendar online, so I clipped it with the Evernote Web Clipper and tagged it with her name. When her birthday was approaching, I did a search in Evernote and found the calendar. If it wasn’t for Evernote, I would have never remembered the idea of giving it to her as a gift.

My Evernote account evolves with me as I take on new projects. I recently started attending floral school; it’s a new hobby and I’ve been using Evernote to help me capture inspiration and lessons.

 
 

The Evernote SXSW Survival Guide

If you’re going to SXSW, you’ll definitely want to arm yourself with our survival guide. It’s packed with tips for how you can use Evernote, Evernote Food, Evernote Hello, Skitch, and a number of our partner products (which you can find in the Trunk), to get more done, capture your experiences, stay organized, and be able to access all of your notes from any device you have on hand.

Our top 10 tips for using Evernote apps and products at SXSW:

  1. Create your packing list. As you get ready for your trip, create a checklist of things to pack so you don’t forget anything. Check things off your list as they go in your suitcase.
  2. Have all of your travel, hotel, and transportation information handy. Email your travel itinerary, hotel confirmations, and more, to your Evernote account. Don’t go shuffling through your inbox when you need to pull up this information, need to find a phone number, or confirm a departure date.
  3. Annotate maps with Skitch, save them to Evernote. Whether you’re new to Austin or not, use Evernote and Skitch to map out your game plan for the parties, panels and meetings you’d like to attend. Use Skitch to capture a screenshot of a map, annotate it, then save it to your Evernote account.
  4. Use Evernote to capture your grand ideas. You’ll be attending panels, meeting tons of inspiring people, and learning about lots of new companies and opportunities. Use Evernote to capture your ideas — whether they’re written down in a notebook, on a napkin, or drawn out with chalk on a sidewalk. Type out notes and snap photos of text that you’ll be able search and find later.
  5. Remember the people you meet and the SXSW experiences with Evernote Hello. When you meet new people, use Evernote Hello to capture their photo, add their contact information, and jot down any notes about the meeting, context, and more. You can even add people straight from your phone contacts if you’ve communicated with them before and are now just meeting them in person.
  6. Corral all of those business cards. Before you toss someone’s business card into your bag, snap a photo of it using Evernote and add any additional thoughts as a note. Save all of your business cards into a separate notebook that you can use as your searchable, digital rolodex. If you don’t have time to take a photo, you can always scan them later, or use one of our partner integrations like Shoeboxed.
  7. Chronicle your food experiences with Evernote Food, and join our SXSW Food Hunt! There are lots of delicious places to eat in Austin. Just ask our Austin-based Food Writing Ambassador, Kristi Willis. She’s leading a SXSW Food Hunt, so while you’re in Austin, be sure to join the fun. Use Evernote Food to snap pictures and add notes about the delicious places you eat and the people you share your meals with.
  8. Get work done on the go. Your colleagues back home are probably jealous that you’re at SXSW, so make sure you don’t drop the ball when it comes to getting your work done. Save work documents and presentations, mockups, and important emails to your Evernote account so you can stay productive in between sessions. If you’re Premium, then you can also take everything offline on iOS and Android.
  9. Save tweets to your Evernote account. Follow these instructions for connecting your Evernote account with your Twitter account so you can send tweets you may want to remember to your Evernote account.
  10. Share your experiences with friends and colleagues. Whether you’re using Evernote, Evernote Food, or Skitch, share your notes with friends back home through Shared Notebooks, as individual notes, via email, Facebook, and Twitter.

Evernote: My Food Writing Companion

I got into food writing as a hobby and then it turned into a career. My background is actually in tech writing. About six years ago, I started working for a group focused on productivity and over the course of my work there, I began to explore how I could make my life easier. At some point, I stumbled upon Evernote and I haven’t look back since.

The work I do for various clients is very different and switching hats multiple times a day can be a challenge without the right tools. As a freelance writer, I know that I need access to the right notes and documents at the right time — otherwise, I’m in trouble! Evernote helps me keep clients and projects organized. Here are some of the ways I use Evernote for keeping my writing projects organized:

  • I have three computers, but Evernote is my one constant when I travel. I travel a lot for food writing in different cities, which means I’m not always in front of one computer. If a client calls while I’m on the road, I need to have access to all of my notes and documents related the project I’m working on for them. With Evernote, it doesn’t matter where I am, I feel confident that whatever I need is always with me.
  • I use Evernote as a capture tool. I clip everything. I have a notebook for each blog that I write for (my two blogs and a client’s tech blog). I clip anything interesting I see on the web using the Evernote Web Clipper and tag everything so that I can cull story ideas at one time. I’ll sort ideas based on whether they’re relevant for one of the blogs I write for or a magazine article. Having it all in front of me, in one place, is a great way to focus.
  • I utilize an extensive tagging system. I create ‘subtags’ for my notes. For example, I can tag a note as a story idea and then add another, more specific tag like ‘restaurant review idea.’
  • I use Evernote as a writing tool. I draft articles in Evernote and recently started using Michael Hyatt’s (Evernote Blogging Ambassador) story idea flow.
  • I use Evernote to share with others. When I was starting Ditch the Box, I was working with a few people on how to change their food habits. I saved recipes to a Shared Notebook that they could access before the blog was live. When it came time to add them to the site, I was able to quickly access them myself (and I didn’t even need to retype!). [Learn about sharing from Evernote]

Evernote Food for recalling meals

I recently started using Evernote Food for keeping track of my impressions of dishes when I dine out. When I review a restaurant, I need to be able to capture what was in the dish I’m eating, and I have to be able to recall these details months later, when I’m writing. At that point, the dish might not even be on the restaurant’s menu anymore, so I have to be able to recreate the experience and recall my experience in that moment. [Learn more about Evernote Food]

Evernote for Everything Else

My Evernote use doesn’t end when my workday does. Here are some ways that I use Evernote to capture and remember other aspects of my life.

  • I scan in recipes and workouts. I used to have physical notebooks with magazine cutouts, but when I was on the road, or at my sister’s house, I didn’t have access to my stuff. I eventually got rid of those notebooks in a bid to go paperless and now, if I see something in a magazine, I scan it into Evernote. That way, I can access workouts when I’m away from home, and my dad’s holiday dressing recipe when my family gets together at my sister’s house.
  • I snap photos of wine labels and gift ideas. I can never remember wines that I like, so I’ve started taking pictures of wine labels. I also snap photos of gift ideas when I’m in a store. To recall them later, I add the store name and any relevant information that I might need to help my decision.
  • I use Evernote to help me familiarize myself with my new grocery store. I moved a few months ago, and after eight years of shopping at the same place, I was completely disoriented by the new store. One day, I created an Evernote note in which I included a layout of the store, annotated with items that I buy every week. Now, I waste less time getting lost!

My discovery of Evernote has been life-changing. So much so, that I convert someone into an Evernote user about once a week!

Lindsey C. Holmes, Evernote Small Business Ambassador Shares Her Business and Marketing Tips

We’ve heard from many of our small business users that Evernote is an invaluable tool for keeping track of ideas, projects, and to collaborate with teammates. Today, we’re excited to announce our newest Ambassador, who will be sharing her tips for using Evernote in a small business setting. To kick things off, we’re handing the mic over to Lindsey C. I use Evernote for Running my Business

I’ve been an Evernote user for three years and in that time, it has changed the way I think; a phenomenal feat for a free tool. In the context of my business, I use Evernote for a combination of marketing and GTD (David Allen’s Getting Things Done methodology). Here are some of the reasons Evernote has become invaluable to me:

  1. Evernote is seamless. As a business owner, I travel a lot, work from home and in the office. I have a staff of 8 and Evernote helps me manage my workflow, regardless of where I am.
  2. Evernote is totally flexible. It has just enough structure to it that I can organize my notes however I want. The more I started using it, the more it helped me with my productivity, and allowed me to actually process information faster.
  3. Evernote helps me create. Because I don’t have to spend a lot of time thinking about how to adjust myself to a structured system, I’m able to focus more on the creation process, and organize however I see fit. The tool doesn’t own me, I own the tool.

How I use Evernote for Marketing

I’ve been using Evernote to capture and create for years, but recently, I’ve realized its huge potential for distribution. Evernote is the most cost effective marketing tool I use and it has allowed me to completely streamline my process. Lately, I’ve been obsessed with Evernote’s sharing features. At my company:

  • We create Shared Notebooks for all of our events. It’s easy for me to be out in the field and drop something into Evernote and know that anyone that has access to it will see it. I also love the ability to share something with my Twitter and Facebook networks, straight from my Evernote account. I love that I can use one tool to do so many different things.   • I use Evernote for document storage. I store all of my documents in Evernote, where I can easily edit them, export them as PDFs and drop the edited version right back into the note, where it will always be available to me.
  • I use Evernote as my distribution tool. I’m able to send emails to my team right from my Evernote account, which makes the communication flow extremely efficient and effective.
  • My office is completely paperless. I rely on my Doxie scanner and Shoeboxed (a service for digitizing paper and saving it to your Evernote account)  for helping me process paper and then get rid of it.

Every new company staff member is trained on how to optimally use Evernote; it’s invaluable to our business!

Evernote for sentimental mementos, serial numbers and more

The more I use Evernote, the more uses I find for it. Here are a few ideas:

  • I take pictures of outfits before trips. This helps me pack whatever is appropriate and know which pieces in my suitcase go with what.
  • I keep information about my dog, Banks, in Evernote. When we arrive at the vet, I can pull up my dog’s medicine and immediately provide the vet with all the information he needs.

  • I have a notebook for my parents and my little sister. These notebooks include photos and even medicine information. If I’m visiting my sister in DC where she lives, and my parents need me to pick something up for them, I’m able to find everything I need in Evernote.
  • I take pictures of birthday cards. I realize that with Evernote, it’s about the sentiment. By snapping photos of cards with Evernote, I’m able to look at my collection in Evernote much more than if it was kept in a box somewhere. I’ve become a digital hoarder!
  • I store computer serial numbers in Evernote. To keep my gadgets’ serial numbers handy, I snap photos of them using Evernote.

The bottom line is: whenever I come across something that I think could be made easier, I go to Evernote first.

Evernote for networking and events

I go to a lot of events. Since I’m a very organized person, I take lots of notes and photos of business cards. I drop them all into a Shared Notebook that other people who may have attended the event might want to access. It takes the stress out of trying to share notes and tips!
